Position Summary: We are hiring a Marketing Coordinator to support the development of compelling, timely, and brand-aligned proposals, marketing materials, and other client-facing communications. This role is ideal for someone who is highly organized, detail-oriented, and energized by collaboration in a fast-paced environment. 

As a key member, of our marketing and business development team, you will help coordinate pursuit efforts, assist with content development, and contribute to the production of qualifications packages, presentations, and visual collateral. You will also support the organization and upkeep of marketing information such as project descriptions, resumes, and templates. 

This role requires close collaboration with project managers, technical leads, and senior staff to gain a strong understanding of NSD's services, deliverables, and clients. You will work across platforms including Microsoft Word, Powerpoint, Sharepoint, Canva, and Adobe Creative Cloud (InDesign, Illustrator, Photoshop) to generate cohesive, high quality materials. 

You will report to the Marketing and Business Development Manager and play a key role in helping NSD share its story, win work, and grow our positive impact. 

Position Location: (Seattle, Bellingham, or Port Angeles, Washington; and/or hybrid remote in WA)

We are currently using a hybrid model of in-office and remote work. For this position, our preferred candidate is located near one of our three office locations to more easily allow for in-office time. 

Key Responsibilities

• Proposal & Pursuit Support (70%):
  • Assist in coordinating the proposal process, including scheduling kickoff meetings, organizing outlines and templates, and formatting documents for final delivery
  • Collaborate with technical staff to collect and compile proposal content, track action items, and meet internal and client deadlines
  • Support business development activities such as lead tracking Go/No-Go documentation, and update pursuit records in the CRM (Customer Relationship Management) system
  • Assist with project interview preparation, development of client-facing materials, and coordination of debrief meetings after submissions

• Content Management & Systems (20%):
  • Throughout pursuit process utilize and update NSD's Client Relationship Management system (Deltek Vantagepoint)
  • Maintain and organize proposal assets including resumes, project descriptions, and boilerplate content
  • Archive submitted proposals and relevant documents
  • Format and populate templates for efficiency, brand consistency, and client alignment

• Marketing & Administrative Support (10%):
  • Support business development goals by developing materials for interviews, client presentations, and awards submittals
  • Provide formatting and proofreading for outward-facing collateral
  • Help coordinate logistics for conferences, photo management, and outreach as needed

What You'll Bring

• Must-Haves:
  • Strong writing, editing, and proofreading skills
  • Strong organizational habits and attention to detail
  • Experience coordinating the development of proposals or marketing materials from start to finish
  • Proficiency with the Microsoft Suite including Word (formatting tools), Excel, Teams, PowerPoint, and SharePoint
  • Proficiency in developing graphics, layouts, and style guides using either Canva or Adobe Creative Cloud Tools (InDesign, Illustrator, Photoshop)
  • Experience using a Client Relationship Management (CRM) system

• Nice-to-Haves
  • Interest in understanding NSD's approach to restoring aquatic ecosystems
  • Experience with Deltek Vantagepoint
  • Willingness to learn and adapt to new tools and technologies, including AI-assisted platforms (such as ChatGPT)
  • Understanding of public agency procurement processes (RFQs/RFPs)
  • Design eye and interest in branding and visual storytelling

Qualifications & Experience

• Education:
  • Bachelor's degree in marketing, communications, English, journalism, public relations, graphic design, business administration (with a marketing emphasis), environmental science with a strong writing/communications experience, or a related field--OR an equivalent combination of education and professional experience in the Architectural, Engineering, Construction (AEC) industry

• Years of Experience:
  • Minimum of 3 years of experience in the AEC industry, (environmental consulting a plus), and/or in a similar field

Compensation:

Natural Systems Design offers a competitive salary and benefits package, including up to a 4% match on 401(K), 8 paid holidays, and 4 weeks of paid time off accrued annually. Wage ranges are based on a candidate's experience, qualifications, and industry knowledge. We expect the salary range for this position to be: $75,000-$85,000 DOE.

Start Date:

The position's start date is flexible and will be negotiated with the selected candidate based on their availability. 

Hours:

We trust each other as professionals and respect each other as people. For us, this means staff have the autonomy to manage when they come into the office and when they work from home. Our staff have flexibility as exempt hourly positions. Hourly means when needed you could work less than a 40-hour week and conversely, additional hours worked beyond 40 hours are compensated at a 1.5x hourly rate. Some variable travel to project sites and office locations is expected.
