Position Summary
We're seeking a Payroll, Finance & Admin Operations Specialist who thrives on accuracy, collaboration, and process improvement. You’ll support our growing business across payroll, benefits, vendor payments, and day-to-day administrative functions—making an impact on both people and systems.
This position is preferably hybrid, with limited weekly visits to our office in Redmond, WA. We’re also open to fully remote candidates located in PA, TX, FL, Canada (ON and BC). Looking for candidates who can work full time and/or a potentially reduced schedule of 30 hours per week.
You’ll ensure our people are paid accurately and feel supported in every interaction.
You’ll help build the operational backbone to support a future audit or processes.
You’ll be trusted with sensitive information and empowered to improve processes that scale.
Key Responsibilities
Payroll ownership (Payworks for Canada & Gusto for the U.S.)
Benefits and reimbursement management
Light finance tasks (statements, recurring charges, vendor payments)
Administrative office support (mail scanning, food orders, HR docs)
Support for audit preparation and requests as we scale to more formal financial reporting
High communicative skills with several stakeholders
Data and process oriented environment
You’ll work directly with our VP of Finance and Senior Accountant, as well as the Head of HR, and be part of a people-first, data driven and process oriented culture where your contributions are felt company-wide.
Payroll & Benefits (60%)
Own and process biweekly payrolls (Payworks & Gusto)
Manage benefits uploads, 401K, RRSP, HSA, PTO records, Health Insurance
Support employee reimbursements (wellness, education, general)
Maintain and track deduction setups, logs, and related documentation
Periodic payroll related tasks
Finance Admin (30%)
Download and organize monthly bank and credit card statements
Maintain recurring charge reports
Assist with vendor payments and deposit physical checks
Update manual KPI reporting data and support monthly close activities
Respond to audit data requests and support annual financial reviews
Office & Admin (10%)
Route mail, scan and file documents, maintain HR records
Place food orders for meetings and team events
Maintain emergency contact and internal reference sheets
Qualifications
5+ years experience in payroll, benefits, including experience overseeing payroll systems, payroll tax compliance and multi-state payroll processing
Experience with financial operations, benefits and overall administration
Experience with spreadsheets, and digital workflows
Excellent organizational and documentation skills
Discretion and integrity handling confidential information
Experience supporting audits
High communicative skills

The salary for this role is between $65,000 and $70,000. The specific salary offered will depend on several factors including but not limited to applicant’s skills and prior relevant experience. The hired candidate will be eligible for company paid medical/dental/vision insurance, 401K match, wellness benefits, company products and qualified education reimbursement.
